When working with a CRM, you may need to get statistics on related records that are linked to companies or contacts. These can be their deals, orders, and other types of records that are linked to the folder.
How to add related summaries
To add related summaries, go to Settings > Manage folders and fields > select the desired folder > Add field > select related summary from the available options:
Field settings and types of related summaries
This type of field has two completely different options for what will be done with related records:
Summarize date inside the related records - an option that allows you to configure this field to display the sum of all related records for a specific field in the folder. These can be numeric fields, currency fields, or even date fields.
💡Example: you need to know the total amount of budgets of deals related to a company or a contact. This option will show the sum of all deals in any statuses associated with the company or contact.
Count the total number of related records - a parameter that simply counts the total number of related records to a folder.
💡Example: you need to know how many deals are associated with a company or a contact. This option will show you the number of all deals, in any status, that are associated with a company or a contact.
Filtering related summaries
Include only records matching filter - in addition to the fact that the related summary field can work with all related records, it can be customized to obtain the necessary information on deals in specific statuses.
After activating this option, you can select any field that is available in the related records so that the system performs calculations only in the fields that meet this criterion:
💡Example: you need to know the number of only won or lost deals related to a company or a contact. This parameter will show the number that will match the desired filter.
Using related summaries in practice
As an example, you can create a group of fields in a separate block that will calculate the necessary information from related records for you. These can be different fields of the related summary type, but each of them can have different settings to display different indicators, amounts, quantities:
Thus, now on a company, we can get a lot of useful information on various indicators from all related records:
