How to configure time offs for users and manage distribution in a workflow
NetHunt CRM automations work 24/7, but your managers don't. To prevent new leads or tasks from getting stuck with an employee who is on vacation or sick leave, we have added a "Time Offs" feature.
This feature allows you to temporarily exclude users from the “round robin” automation steps, ensuring that the record only goes to those who are currently available.
What does setting up time offs give you?
Temporary exclusion from the workflow: The user automatically stops receiving new records through automation for the period of their absence. This applies to both distribution between specific people and distribution between roles.
Process continuity: You can assign another manager to receive their records. All incoming tasks that would have gone to the absent manager will automatically be transferred to the selected colleague.
Planning ahead: Time offs can be created for future dates (e.g., for planned vacations) or left open-ended (for sick leave).
How it works
Creating a time off:
Go to Settings > Time offs and click "Time off".
Select a user to temporary exclude from auto-assign distribution processes. The manager is on vacation or sick leave, or possibly on a business trip.
Specify time off details. From what date does it start, and when does it end?
Select a substitution user (optional). If another colleague will replace the manager, you can specify them, or leave the field blank and the distribution will only be for those who are still present in the automation.
If you have specified all managers who will be absent on the same days or at the same times in the distribution and you have not replaced them with others, the system will notify you of this:
Also, “Automatic distribution” will be enabled by default in automation, so you can change this value by going to “Automation settings”:

The general view will display three categories:
Active. This will display all users who are currently absent:
Scheduled. All users who will be absent in the future are displayed:
Ended. Users or managers who have already returned to their regular distribution:
