Data import

Updated over 9 months ago

NetHunt CRM allows you to easily import data from a CSV file, ensuring a smooth transition from other CRM systems or spreadsheets.

Where to Get a CSV File

Most CRM systems support data export into a CSV (comma-separated values) file. You’ll typically find this option under the Data Export section. If you need assistance, consult your previous CRM's help center or contact their support team for help in exporting data to a CSV file.

How to Import the CSV File into NetHunt CRM

To import your CSV file into NetHunt CRM and create a folder based on that data, follow these steps:

Step 1: Start the Import

  1. Click on the NetHunt icon in your Gmail interface or in the web application.

  2. Select the Import data button.

  3. Choose Import from CSV.

  4. Drag and drop the CSV file you’ve saved on your computer into the uploader window.

Step 2: Choose the Destination Folder

Next, you need to choose where to import your data:

  1. Select an existing folder or choose the option to create a New folder, which will automatically be created after the import and will contain all your data.

Step 3: Map Fields

After selecting the folder, it’s time to map the fields from your CSV file to the fields in NetHunt CRM:

  • CSV COLUMN NAME: Displays the column names from your file.

  • CSV DATA EXAMPLE: Shows an example row from your file for reference.

  • FIELDS IN NETHUNT CRM: This column shows how NetHunt CRM has automatically mapped the fields from your CSV file to the appropriate fields in the folder. You can adjust the mappings as needed.

When mapping fields, you have the following options:

  1. Save this field as a record comment: If the column in your CSV file contains notes or comments, you can save them as comments in NetHunt CRM.

  2. Create a new field: If the field doesn’t exist in your target folder, you can create a new field to store this data.

  3. Do not map: Choose this option to leave out a column and skip importing it.

Important! NetHunt CRM requires at least one field called "Name", which will serve as your record’s main identifier. Make sure to map the correct column from your file (such as a contact name, company name, or deal name) to the "Name" field in NetHunt CRM.

When you click on the field options in the NetHunt fields (3rd column), you get to choose:

Step 4: Duplicate Checking

If you’re importing data into an existing folder, you’ll need to perform a duplicate check:

  1. Select one of the existing fields in your folder to check for duplicates (such as email, first name, or last name).

  2. Choose what action should be taken for any duplicates found. NetHunt CRM recommends using email as the most unique identifier.

Step 5: Start the Import

Once the fields are mapped and duplicates are checked, click Start import to begin. You can then navigate to the folder to review your newly imported data.

Importing Comments

If you have comment fields in your CSV file, make sure to map these columns to comments in NetHunt CRM. For example, if your spreadsheet contains columns like "Comments October" or "Comments November", you can map these to the "Save as Comment" option in NetHunt.

  1. If you're importing multiple fields as comments, NetHunt CRM will display the original field names within the new comment.

  2. If a comment already exists in a record, the new one won’t be imported to avoid duplicates (there must be a 100% match between the two).

Handling Mismatch Data

Sometimes, you may encounter fields with incompatible formats (e.g., dates in different formats). NetHunt CRM will detect these inconsistencies and offer you the option to Show mismatch data, allowing you to correct them before finalizing the import.

Final Step: Review Your Imported Data

Once the import is complete, go to the folder to review your newly imported records. Your data is now ready to be used in NetHunt CRM.
