When you need to automate a process in your CRM, you need to create a workflow.
Workflows consist of triggers and actions. Easy.
To learn about triggers, follow this guide.
What is an action?
1 action in limits is a SUCCESSFUL execution of any workflow steps that are gathered under the Header "Actions" in the "Add step" dialog. Such steps also have a blue square with the icon in their step card. E.g. Send email, create a record/task, update a record, send Slack/Google chat message. Triggers and helpers (all kinds of wait, split, filters and stop) are not considered actions, and they do not count towards the limit of the monthly actions quota.
Action is the event that follows the trigger after it was started.
Available actions
-
Send an email. When you, for example, want to send an email right after a record has been added to your CRM, you need to add this action. Here is a possible use case you can consider - to send out drip campaigns to your leads.
-
LinkedIn. Automate LinkedIn outreach with NetHunt CRM—send connection requests, follow up, withdraw unaccepted invites, and monitor interactions.
-
Send a Slack message. If you are using Slack you can set it up so you can get notifications on a Slack channel instantly.
Here is the guide on how to set it up. -
Send a Google Chat message. Similar to Slack, Google chats are another way to notify your team on a certain change in your system.
-
Add to contacts. When your Contacts data type is set up, you will see this option in Actions. It is simply the create a new record (see point 6) action, but pops up with the Contacts folder already selected.
-
Create a new record. When, let's say, you connect your webform to NetHunt (see triggers), you will need to create a new lead in your folder. This action will be a step two in your workflow and here is the guide to set it up.
-
Update a record. Let us say you want to update the Probability field in your Deal once you update its Stage. Here is a detailed guide on this possible workflow.
-
Update related records. You can update the fields of a related record. For example, if a prospect replies to you, you can move the deal to negotiating. More details about this option in this guide.
-
Create a Task. One of the most popular actions. If you want to create tasks assigned to you or your team based on any trigger, you can use this action, and here is a detailed guide.
-
Make an API call. The API call action lets you send requests to external services and receive data back into your CRM. More information can be found in this guide.
-
Generate PDF. The Creation PDF action lets you generate PDFs from CRM data. You can build from scratch or upload HTML templates, use macros for dynamic content, insert your logo, and automate docs like invoices, reports, or contracts. More info in this article.
Manage actions in your subscription
For each plan, you have a certain amount of actions per months:
-
Trial - 500 actions;
-
Business - 2,000 actions;
-
Business+ - 5,000 actions.
If you see you run out of actions and receive an email notification from us, you can purchase additional actions for aonn additial fee:
How to purchase additional actions
-
Go to your Settings>Billing>Plan details and scroll down to Workflows subscription:
-
Purchase the actions plan you need. This will be considered as a separate bill along with your CRM subscription and will be charged monthly. Please note that the extra purchased actions will be also reset each month and not added to the following month's subscription.

Important notes:
-
Additional actions are available for a subscription-based purchase. It means that the number of actions you'd choose will be added to your account on a monthly basis.
For example, you've got 2,000 actions included in your Business subscription plan, and you're adding another 5,000 actions at the price of $20. These 5,000 actions will be added to your account right away and available till the end of your billing cycle. When your plan renews next month, these 5,000 actions will be added to your account again, and your credit card will be charged again too.
When you no longer need additional actions for your account, please make sure to cancel them so we won't charge you again. -
Additionally, purchased actions are available till the end of your current billing cycle and will reset when the new billing cycle starts.
For example, if you purchased your NetHunt subscription on April 15th, your actions limit (both included and additional) will reset on the 15th of each month, regardless of whether your subscription is monthly or annual.
This also means that if you purchase additional actions a week before your billing cycle ends — they will be available to you only for a week. Then they will reset, and another charge will be made to your credit card. So, please plan your actions spend and purchases carefully.
-
If the actions limit is exceeded, the automations will continue to be triggered, but will fail once it reaches the next action in the template.
We're not stopping the workflows if the limit is exceeded, so the user would see which events should have happened. This would also prevent the user from losing the data collected via the web form submissions (they won't create a record, but the received field data will be available from the step's history). - We'll email the Workflow owners if there's 10% of actions left and when the limit is exceeded. -
Workspaces with the paid plans that include the Workflows can continue to use actions over the limit until their workspace's next limit reset period (it's unique for each workspace and can be checked from the Billing widget and actions counter) but after their next reset will start monitoring the limits and lock workflows from execution if the limit gets exceeded. So if the workspace is already over limit, the workflows will not stop, and they will have more than a month to estimate the real usage and upgrade/expand limits. We'll also show the user a tutorial banner explanation of how this works and when they need to start actually caring for the number of actions they use.
-
On trial, we provide users with 500 actions. It is enough to get the taste for the Workflows. You can't expand the action limit on trial. A paid subscription plan is required, and it must include the Workflows among the features (Business and Business+ plan).
-
Users on the paid plans that do not include the Workflows (Basic, Basic+) can activate the Workflows Trial period for 14 days with 500 actions. After one of these limitations is exceeded, they need to upgrade.
