How to filter records by the “Related Records” field across folders

In NetHunt CRM, to quickly find the information you need, you can not only filter records by their fields but also use related records across folders. This feature is especially useful when you need to find all contacts associated with a specific company or all deals belonging to a particular contact.

Using filters for related records, you can easily view data in one folder based on information from another. This is also useful if you need to export deals, but the email or phone number is in the contacts folder. This article will help you with that.

There are several ways to set this up, depending on how your folders are linked. Let’s go through them one by one:

Filtering records by the saved view of another folder

This filter will work if your “Contacts” folder is linked to the “Company” folder, and the related record field is placed at the top, not in the backlinks section:

  • We need to go to the Company folder and create a view, or we may already have this view. We will create a new view called “Company Status: Lead”:

  • Next, we save the view and give it a name, since I plan to create an email campaign for lead customers, and I have the company employees' email addresses in my contacts folder.

  • Now go to the “Contacts” folder and set up this filter: choose the “Company” field, then select “By view,” and pick the specific view we created in the “Company” folder (“Company Status: Lead”):

  • Now we can create an email campaign to send emails to contacts whose companies are in the Lead status:

Filtering records between two folders using the “Related Summary” field

This method will work if your records are linked in any way - whether it’s deals linked to a company or a company linked to deals. To do this, we need to create a “Related Summary” field to summarize values from a “Deal amount” field:

Now we can filter companies by the Deal amount to identify which ones generate the most profit:

Filtering records using a workflow

Sales teams may want to see only contacts associated with companies in a certain pipeline stage, such as "Lead," "Prospect," etc., to prioritize outreach and follow-ups.

If you have the "Stage" field populated in the Company folder, but not in the Contacts, please follow these steps:

  • Add the "Stage" field to the Contacts folder if it's missing.

  • Add the checkbox field that will activate the workflow to the Company folder.

  • Create a workflow with a trigger "Field value changes" and choose a checkbox field you've added previously:

  • In the second step, choose the "Update related records" action, and for the contact's stage, use a macro from the company's status:

  • Then activate the workflow.

  • Mass update the checkbox field in the Company folder, making it checked:

  • As a result, the value from the company's "Status" field will pass to the contact's "Stage" field.
