A role is a template of permissions assigned to a user. Once assigned, the role grants access to specific folders.
Only workspace Admin can create or update roles. Each user can be assigned to a single role only.
The Admin Role
The Admin manages the entire workspace, including all folders and users within it, and is also responsible for invoicing.
There can be multiple Admins within a workspace. The initial Admin can grant Admin roles to other users, who will then automatically receive the associated permissions.
Billing-only role
The Billing-only role is a special role intended for users who need to be invited to the workspace to add a payment card and verify payment details.
It doesn’t give access to any folders in the workspace, so it’s not a paid role. You can find out more about this role here.
To set up a role:
Go to Settings → Roles.
Click Create New Role.
Name the new Role.
Select folders and set access permissions, then save the settings.
To edit a role:
Select the role and click its settings (where you can manage permissions, rename, duplicate, or delete the role).
Click Manage Permissions.
Modify the role’s permissions and click Save.
💡 You cannot delete a role that has been assigned to at least one user. Make sure to assign them a new role first, and then delete the old one.
User management
Your NetHunt team consists of users with specific roles within the Workspace.
The list of users can be found on the dashboard in the “Team & Permissions” widget. Using this widget, you can easily invite a new user to your workspace, as well as view and configure roles:
You can also configure roles and manage users via the “Team” section.
To do this, go to Settings → Team → Users or Roles.
There you can:
Change a user’s role.
Configure access permissions for specific roles within the workspace.
Remove a user from the workspace.

How to reassign managers
When an employee leaves the company or changes roles, it may be necessary to reassign their deals, contacts, and other records to a new responsible person. NetHunt CRM allows you to do this quickly and efficiently using the mass update feature. Here is a step-by-step guide on how to reassign records:
Step 1: Filter records of the former employee
Go to the folder that contains the records that need to be reassigned (for example, “Deals”, “Contacts”, etc.).
Apply a filter to display only the records assigned to the former employee. To do this, select the filter for the "Assigned" field and choose the name of the employee whose records you want to reassign.
Step 2: Perform a mass update
Once you have the filtered list of records, select all the records you want to reassign. You can do this by checking the checkbox in the table header or by manually selecting individual records.
Click the “Mass update” button (it is usually located on the toolbar above the records list).
In the pop-up window, select the “Assigned” field (or the corresponding field that defines ownership).
Choose the “Replace with” option, then click + and select the new NetHunt CRM user to whom these records will be reassigned.
Finally, click “Update.”
Step 3: Repeat for other folders and, if necessary, remove the former employee
Repeat steps 1 and 2 for all other folders where you need to reassign the former employee’s records.
Once all required records have been successfully reassigned, and if the former employee will no longer be using NetHunt CRM, you can remove them from your workspace.
Limited field visibility in NetHunt CRM
In NetHunt CRM, you can restrict the visibility of information in inindividual fields or completely hide it from certain users. This allows you to control access to sensitive data and customize the interface according to the needs of different roles within your team.
💡 This feature is available to users on the Business plan and higher.
You can configure Limited field visibility or Limit field editing in the folder Settings section.
Important considerations before configuring settings:
This is not full data protection: Restricting visibility in the user interface does not guarantee that a user with limited access cannot obtain this data through other means. For complete data protection, you should use role-based access settings.
Functional limitations: If a user can only partially view fields in a folder (i.e. data in some fields is hidden), certain features become unavailable to them. This includes export, import, record movement, bulk updates, and more. This feature is designed to prevent users as far as possible from managing records where the full data is not available to them.
NetHunt CRM offers two main ways to restrict field visibility:
Step 1: Restrict access by user roles
You can make a field available only to users with specific roles. For example, financial information about a transaction can be visible only to admins or accountants.
How it works:
If a user does not have the specified role, the field will be completely hidden from their interface, including the record creation dialog.
This feature also allows you to customize the record layout for each individual role, making the interface more user-friendly and tailored to specific needs.
Step 2. Restricting access based on field assignment (assigned manager):
You can restrict access to a field to only those users who have been assigned that specific field. For example, a contact’s email address can only be viewed by the manager responsible for that contact.
How it works:
In cases where multiple records are displayed at once (for example, in a list view), the field will remain visible in the interface, but its data will be shown as “hidden.” This means the user can see the field itself, but not its contents.
