NetHunt CRM Glossary: Speaking the Same Language
When working with the CRM system, you may come across specific terminology or slang used by our experts. This article will help you easily navigate the settings and understand how your workspace is organized.
📁 Basic System Structure (What Is Stored and Where)
Workspace is your global environment in NetHunt, where you manage your business, settings, and invited users (your team).
Folder is the main section of the system where structured information of a specific type is stored. By default, the system provides the following basic folders: “Deals,” “Contacts,” and “Companies.”
Field is a separate attribute or a field to be filled in within a record. For example: “Phone Number,” “Budget,” or “Stage.” Field settings determine the structure of the entire folder.
Record is a specific card for a client, deal, or company that contains all filled-in fields and is located within a folder.
Timeline is a chronological log within each record where the entire history of interactions with the client is stored: emails, comments, call logs, tasks, and files.
Payload is the initial, basic folder structure that a user receives upon first logging into the system. By default, these are the “Deals,” “Contacts,” and “Companies” folders.
Presets (Default Values) are preconfigured values that the system automatically populates into fields when creating a new record. This saves time by eliminating the need to manually enter the same information repeatedly (for example, automatically setting the deal probability to 50%).
Record ID is a unique system number assigned to each record (whether a client or a deal). It is very useful when exporting and re-importing the database: thanks to the Record ID, the system knows to update an existing record rather than create a duplicate.
Statistics fields are special fields that the system fills in automatically without the manager’s involvement. For example, “Date of Last Interaction” or “Last Email Received.” They make it easy to track which clients you haven’t communicated with in a while.
The ALPHA-2 code is the international two-letter country code format (e.g., UA for Ukraine or PL for Poland). This is important to know when importing databases: if the table contains the full word “Ukraine” instead of “UA,” the system will not be able to import this data into the “Country” field.
👁️ Data Visualization (How We View Information)
View is a saved set of filters and settings for displaying records in a folder. “Views” allow you to quickly open the segments you need (for example, “Only My Clients” or “This Month's Deals”) without having to search for information from scratch every time.
Pipeline (Card View / Kanban / Funnel) is a visual model of the customer journey. Technically, it is a specific view of your records in a folder in a Kanban board format, broken down into columns (mainly stages).
Snippet (record tag) is a brief summary of the most important information (key fields) from a record. Snippets let you see the essence of a record right in the list or next to an email, without having to open the card itself.
⚙️ Automation and Processes (How the System Works for You)
Workflow (Automation) is a customized sequence of actions that the system performs on its own without manager intervention. For example: automatically creating a deal or sending a series of emails.
Trigger is the starting event that launches the “workflow.” For example, automation will start when “a field value has changed” or “a new record has been created.”
Actions and Helpers are the “building blocks” used to construct automation (workflows). An action is what the system needs to do (for example, “create a task” or “send an email”). A Helper is an additional condition, such as “Wait 2 days” or “Wait until the customer opens the email,” to make the process smarter.
Macro is a special tag that allows you to dynamically insert personalized information from the CRM directly into the email text. Thanks to macros, the system automatically pulls names or company names for each recipient individually.
Digest - a daily email that the system sends to your inbox. It contains a summary of your tasks: today’s plan, overdue tasks, and those completed yesterday.
Round-robin is a special algorithm in automations that allows you to evenly distribute new incoming leads or tasks among all sales managers (in turn, in a circle).
🛠️ Technical Terms and Integrations (Complex Made Simple)
Webhook is a kind of “digital mailbox.” When someone fills out a form on your website, the site instantly sends a “package” of data via a webhook directly to your CRM, where a new record is automatically created.
Integration Tools (Zapier, Make, ApiX-Drive) are third-party intermediary services that allow you to connect NetHunt CRM with thousands of other applications without developers having to write code.
An API Key is a unique identifier (secure password) that allows different applications to interact with each other. It is required so that other services or your developers can connect to your CRM database.
Bounce — an email status indicating that the message was not delivered (for example, if the address is invalid). In the system, such emails are highlighted in orange.
Rollback — a “rollback” feature in the CRM settings. It allows you to mass-cancel erroneous record updates or delete incorrectly imported data, restoring everything to its previous state
✉️ Email Campaigns (Mass Mailings)
SPF and DKIM are technical settings (verification systems and digital signatures) for your email domain. They confirm that you are the legitimate owner of the email account and help ensure your emails don’t end up in recipients’ spam folders.
A tracking domain is a special subdomain (e.g., track.your-site.com) created to securely track whether a customer opened your email and clicked on a link.
👥 Users and Access Rights
The Billing-only role is the only free system role in NetHunt CRM. A user with this role (for example, your accountant) has access only to managing payments and invoices, but they cannot view the CRM system itself, customer databases, or reports.
Admin is one of the two default system roles (along with the “Billing-only” role). This user has the highest level of permissions.
🧲 Marketing and Customer Communication
Lead nurturing is a long-term strategy for building relationships with potential customers. It’s not just about sending out price lists, but gradually “warming up” interest through helpful articles, case studies, or invitations to webinars, in order to gently guide the person toward a purchase.
Follow-up is a reminder email. For example, you send a follow-up to customers who opened your previous email but didn’t respond.
Tracking Pixel - an invisible element (pixel) that the system automatically inserts into your emails. It is thanks to this that the CRM system understands and records whether a customer has opened your email.
A/B testing is a marketing experiment in which two versions of an email are created (for example, with different subject lines or buttons). You compare these versions to determine which one generates more opens or clicks, and then use the better one.
📊 Analytics and Advanced Fields
The “Formula” field is a special field that can automatically calculate data or combine text. For example, a formula can automatically retrieve data from the “First Name” and “Last Name” fields and combine them into a single “Full Name” field.
Related summary is an advanced field type that can collect and sum information from other linked cards. (For example, it can automatically calculate the total amount of all won deals for a specific company.)
Looker Studio (formerly Data Studio) is a powerful and free tool from Google for building charts, dashboards, and data visualizations. If a client needs highly complex reports or sales forecasts that go beyond standard CRM charts, the system integrates with Looker Studio.
